Job Description
The EMEA S&LP team is seeking an exceptionally driven, fast-moving, resourceful and proactive Executive Assistant. EMEA S&LP leverages a Team of Team’s construct, employing data-driven strategies and tactics to protect Amazon’s people, brand, and assets from threats. This approach further secures Amazon’s tangible and intangible assets from loss and damage; secures Amazon’s supply chain end-to-end; enables the continuity and resiliency of Amazon’s operations; and mitigates risks and impacts of unavoidable crises.
The ideal candidate for the role will be a detail oriented, experienced planner with the demonstrated ability to respond effectively and efficiently while maintaining flexibility, composure and a good sense of humor. The individual in this role must understand business priorities, demonstrate the ability to proactively anticipate needs and drive improvements to build capacity for the leadership team. A high level of integrity and discretion in handling confidential information as well as professionalism in dealing with senior executives inside and outside of the company is critical. The successful candidate possesses the ability to complete complex tasks quickly with little to no guidance, react with appropriate urgency to situations that require a quick turnaround, and take effective action without having to know the whole picture.
The position is based in Leipzig, Germany and will require office attendance of 5 days/week.
Key job responsibilities
• Management of complex calendar and scheduling to support teams across multiple time zones.
• Manage domestic and international travel
• Manage expense report coordination and submission
• Organize, execute, and assist with team activities (staff meeting agendas, all-hands meetings, off-sites, and team social events)
• Track and help drive completion of key deliverables and follow up on outstanding items
• Act as a liaison for direct reports
• Work closely with the leadership team, recruiting and other Executive Assistants to provide support to the organization
• Have fun at work and help others do the same
About the team
The mission of WWOS (Worldwide Operations Security) is to support Amazon’s Worldwide Operations, as well as affiliate and retail businesses, by creating and maintaining a work environment that is both prepared and secure through global security centers of excellence staffed by subject matter experts in people and asset protection. We accomplish this by creating policy and implementation guidelines; training leadership and staff; using technology to eliminate subjectivity, complexity, and variation; identifying, preparing for, and mitigating risk; and auditing our practices to ensure compliance.
Basic Qualifications
- You are proficient in English (European Framework level C2)
- Experience as an Executive Assistant, Personal Assistant or Secretarial experience at Director or Senior leadership level
- Experience with complex calendar management and scheduling of internal and external meetings, managing travel bookings, handling expenses as well as multi-tasking in a fast pace environment · MS Office knowledge (Word, Excel, Outlook, PowerPoint)
- Excellent written and verbal communication skills
