Job Description
**About the Role**
Executive Assistant Business Partners (EABPs) partner with Uber’s leadership to provide sophisticated administrative and operational support, while also contributing to projects that help drive business priorities and strengthen team collaboration and morale.
**What you'll do:**
01. Manage multiple complex calendars using Google Calendar including vetting, prioritizing, and providing recommendations
02. Help ensure the leader is properly prepared and on time for all meetings
03. Assist with the scheduling of multiple stakeholder meetings
04. Quick response times to messages via email, Slack, or other channels
05. Navigate the intricacies of supporting leaders remotely and a complex conference room landscape
06. Assist with event planning and coordination for team meetings, all-hands meetings, team summits, and team moral events
07. Make domestic and international travel arrangements and process travel expense reports based on direction from traveler
08. Draft detailed travel itineraries and provide remote assistance with logistics and travel arrangements with input from traveler, including visa processing
09. Follow up and provide reminders on project deadlines, AIs, and deliverables
10. Assist with ensuring the timely review and submission of expenses
11. Assist with facility/space planning logistics
12. May preview and provide feedback regarding team expense reports, and assist with running leader’s or team’s morale budget
13. May work on other tasks and projects as assigned
**What you'll need:**
1. Minimum 3+ years of administrative experience
2. Experience supporting multiple leaders (Director Level)
3. English Proficiency is required
4. Experience managing complex calendars, travel schedules, and planning logistics for team summits & events
5. Experience using: Google Calendar, Gmail, G Suite (Sheets, Slides, Docs), and Zoom
6. Ability to work with confidential information
**Bonus Points:**
01. Bachelor’s degree or equivalent practical experience
02. Excellent communication skills with ability to build strong relationships with both internal and external stakeholders
03. Demonstrated ability to prioritize leaders’ calendar with ability to make judgment calls and decisions based on rapidly shifting priorities
04. Experience working in a fast paced, often changing environment with efficiency and accuracy
05. Ability to take initiative and ownership over sometimes ambiguous tasks and situations with little oversight
06. Strong organizational skills
07. Strong attention to detail
08. Experience coordinating projects
09. Experience with budget management
10. Experience working in a complex, matrixed and global environment
