Job Description
We are looking for an Executive Assistant (m/f) to support the German Country Manager (CM) of Amazon. Based on Sales Germany is Amazon’s largest store business outside the US and has over 40,000 employees and 100+ locations with main corporate HQs in Munich and Berlin with about 3.5K employees each. Besides Germany the to be supported CM is also responsible for the Amazon stores business in Austria, Switzerland, Netherlands, Poland, Sweden and Belgium. The work in this position owns coordination and drives projects that impact multiple organizations.
You will become part of a dynamic team supporting directly the CM. You will help developing exciting new and innovative services that will help Amazon further to be the most customer-centric company on Earth.

The role will be based in our Munich office and requires superior ownership, attention to detail, outstanding organizational skills, and the ability to meet tight deadlines while juggling multiple critical requests. The successful candidate will display absolute integrity and discretion in handling confidential information and have the flexibility to cope with short term changes of priorities. The role requires the swift execution of complex tasks and projects with little to no guidance. It will have frequent interaction with counterparts of business leaders in Germany, other EU countries and the US. Last but not least, the successful candidate will also have a good sense of humor and be part of the glue that helps the team operate efficiently, effectively and happily.

Key job responsibilities
• Complex calendar management (including organizing sessions with other internal senior leaders, and external CEOs, press or political stakeholders) and meeting agendas of Country Manager
• Arrange and national and international travel itinerary and manage respective expenses
• Plan, coordinate and support company events such as All Hands, Summer party and leadership team summits
• Oversee budget coordination e.g. for our affinity groups or as parts of our employee benefits like soccer team support, volleyball tournament or Christmas chocolate give away.
• Close collaboration with internal and external PR e.g. for supporting CM’s social media presence and broadcasted or sent messages to the whole Amazon DE team
• Support with documents and power point for external presentations
• Interact with Amazon counterparts in EU and globally to align and arrange meetings, calls and diaries
• Assist with issuing of meeting agendas, minutes from key meetings and tracking of follow-up actions
• Manage team administration such as seating and office plans
• Support the smooth execution of innovative, international projects
• Assist with managing and maintaining an effective digital and (where appropriate) physical archive system

Basic Qualifications


• Exceptionally strong ownership and “can-do” / positive attitude
• Excellent writing and communication skills in English
• Attention to detail and ability to work efficiently and accurately when under pressure to meet tight deadlines
• Self-starter with excellent planning and prioritization skills, requiring little guidance
• At ease dealing with the ambiguity of a fast-moving, non-hierarchical environment (similar to a start-up)
• Willingness to contribute, learn, and be challenged
• Software skills: Outlook (Pro), Excel (Advanced), PowerPoint (Advanced), Word (Advanced)
• Prior EA / PA experience at Director or Senior Manager level

Preferred Qualifications


• Ideally experience in international environment
• Fluent in German written and verbal communication
